Establishing a management system from scratch can be a daunting task. Continually improving an existing system can be even worse!

The ISO standards are not the most thrilling documents to read. Not to mention where systems have legislative or regulatory requirements. Don’t forget contract documents and specifications.

It can be tempting to start designing specific forms, registers, procedures, method statements, work instructions and manuals. Sure on paper you can tick all the boxes off…..but does it work? Before you know it, you can be in a real pickle. All that time, effort and money only to wind up with a complex, confusing, isolated management system that is a daily fight to implement.

Don’t overthink it. The ISO standards really loosened up back in 2015. They moved away from telling you the prescribed formats to use and simply make statements like “implement a process” and “retain documented information”. That really opens up the potential to use what you already have in place.

When I work with clients to declutter and simplify their systems, I ask three questions:

1) What is the obligation?

Identify “that thing” you need to do

2) What is the intention?

Why are you required to do “that thing”

3) What is the deliverable?

When you’ve done “that thing” and achieved the why…what do you need to produce when it’s all done and dusted?

Most businesses tend to have processes emerge organically. That’s the beauty of working with human beings. We are free-thinking creative creatures. If your team constantly deviates from “the system” and forge their own path, don’t discredit it, get curious! Their solution may not be perfect. There probably will be gaps you need to fill and refine, but it might just be a better way of getting “that thing” done.
